Rental Property Planning Guide
Evaluate a rental property from collected income, operating costs, financing, reserves, and possible sale proceeds rather than headline rent alone.
For connected planning, compare the Mortgage Calculator, Amortization Calculator, and Rent vs. Buy Calculator.
Rental Property Calculation Methodology & Assumptions
This model keeps operating performance, financing, reserves, acquisition costs, and sale assumptions separate. It uses a fixed monthly amortization schedule and displays expenses as property-level costs rather than mortgage costs.
- Gross scheduled rent
- Base monthly rent and other recurring property income are annualized before vacancy is deducted.
- Vacancy loss
- The vacancy assumption reduces recurring property income before operating performance is measured.
- Effective gross income
- Effective gross income is scheduled income after the modeled vacancy loss.
- Operating expenses
- Operating expenses are modeled separately from financing. Simple mode uses one total; detailed mode uses the listed expense categories.
- Net operating income
- NOI is effective gross income less operating expenses. Mortgage principal and interest are not included in NOI.
- Gross rental yield
- Gross scheduled income divided by property price, before vacancy, expenses, and financing.
- Cap rate
- Cap rate is NOI divided by property price. It compares property operations without using the mortgage structure.
- Mortgage debt service
- Debt service comes from the fixed monthly amortization schedule and is deducted after NOI.
- Pre-tax cash flow
- Pre-tax cash flow is NOI less mortgage debt service and the selected CapEx reserve.
- Initial cash invested
- Initial cash invested includes the down payment, buyer closing costs, initial rehab, and other acquisition costs. It does not include financed principal.
- Cash-on-cash return
- Annual pre-tax cash flow divided by total initial cash invested. It is a planning ratio, not a guarantee.
- Debt service coverage ratio
- DSCR compares NOI with annual mortgage debt service. It is not calculated when there is no mortgage debt service.
- CapEx reserve
- The selected reserve represents expected major replacements and remains separate from routine maintenance.
- Property appreciation
- The appreciation assumption changes projected property value and equity; it does not change current NOI.
- Rent growth
- Annual rent growth changes scheduled income in later projection years and is not applied to the first year.
- Estimated sale proceeds
- Estimated net sale proceeds equal projected property value less selling costs and the remaining mortgage balance.
- Tax treatment
- Tax deductions, depreciation, tax brackets, and capital-gains treatment are not modeled unless stated separately.

Rental Property Investment Terms
- NOI
- Property operating income after vacancy and operating expenses, before mortgage debt service.
- Cap rate
- NOI divided by property price; financing is excluded from this property-level measure.
- Cash flow
- NOI less mortgage debt service and the selected CapEx reserve.
- Cash-on-cash return
- Annual pre-tax cash flow compared with the cash invested at acquisition.
- DSCR
- NOI divided by annual mortgage debt service; no-debt cases are not applicable.
- Gross rental yield
- Scheduled annual property income divided by property price before vacancy and expenses.
- Vacancy
- The portion of scheduled recurring income assumed not to be collected.
- Operating expenses
- Recurring property costs such as taxes, insurance, maintenance, management, utilities, and services.
- CapEx
- A reserve for major replacements and improvements, separate from routine repairs.
- Property management fee
- A management cost applied to effective collected property income when entered.
- Equity
- Projected property value less the remaining mortgage balance, before selling costs.
- Loan-to-value

Rental Property Planning Guide
How the estimate works
The calculator separates property income, vacancy, operating expenses, financing, reserves, acquisition cash, and sale assumptions.
Read cash flow carefully
Positive modeled cash flow does not guarantee a positive result after taxes, unexpected repairs, or changes in rent and occupancy.
Why NOI matters
NOI lets you compare the property operation independently of the selected mortgage amount and interest rate.
Use cap rate in context
Compare cap rates only when the income and expense assumptions are defined consistently.
Cash-on-cash return
This return uses the cash committed at acquisition, so financing choices can change it even when NOI does not.
DSCR and lending
Lenders may use their own income definitions, reserves, and thresholds. This is an educational ratio.
Model expenses honestly
Include recurring costs paid by the owner and keep major replacement reserves separate from ordinary maintenance.
Allow for vacancy
Vacancy can include turnover, marketing time, concessions, and unpaid periods; use a local assumption you can defend.
Mortgage costs are not NOI
Principal and interest are financing cash flows and are deducted after NOI rather than mixed into property operations.
Maintenance versus CapEx
Routine repairs and major replacements have different planning roles; avoid counting the same allowance in both fields.
Management costs
A management percentage is applied to effective collected income, not the property value.
Treat appreciation as uncertain
Projected value and sale proceeds are scenario estimates. Appreciation is not guaranteed and does not replace cash-flow analysis.

Frequently asked questions
Does NOI include mortgage payments?
No. NOI is property income after vacancy and operating expenses but before mortgage principal and interest.
What is included in initial cash invested?
The estimate includes the down payment, buyer closing costs, initial rehab, and other initial acquisition costs. Financed principal is not added to cash invested.
Why is DSCR not shown for a debt-free property?
DSCR divides NOI by mortgage debt service. With no debt service, the ratio is not meaningful and is shown as not applicable.
Does this calculator include taxes?
It includes entered property taxes as an operating expense. Personal income taxes and detailed tax treatment are excluded.
Should maintenance and CapEx both be entered?
They can represent different planning allowances. Use realistic amounts and avoid entering the same expected cost twice.
How does the projection handle the mortgage?
The projection uses the same fixed monthly amortization schedule to show annual debt service and the remaining mortgage balance.
Are the results investment advice?
No. They are educational estimates. Verify local rents, expenses, financing, taxes, insurance, legal requirements, and property condition independently.
